What a WhatsApp AI agent can and cannot do for a clinic

By Amr Hassan4 min read

Clinics in the Gulf and Egypt get many of their new patients on WhatsApp. The problem is rarely demand. It is that messages arrive at 11 pm, or while the receptionist is on the phone, and by the time someone replies the person has booked somewhere else.

An AI agent on WhatsApp can fix a big part of that. It can also cause real problems if you expect it to do the wrong job. This is how I think about it after building healthcare apps for Saudi clients.

What it does well

  • Answers the same twenty questions all day: prices, location, working hours, which doctor does what, insurance.
  • Replies in seconds, in Arabic, at any hour.
  • Collects the details your team needs before a booking: name, service, preferred time.
  • Books, moves and cancels appointments in your calendar.
  • Follows up with people who asked and went quiet.

What it must not do

It must not diagnose, give medical advice or decide if something is urgent. In a clinic, the agent is a very fast receptionist, not a doctor. Anything that sounds medical, emotional or unusual should go straight to a person, and the agent should say so clearly instead of guessing.

It also should not pretend to be human. Patients accept a helpful assistant. They do not forgive being tricked.

The hand-off is the most important feature

The best agents are judged by how they hand over, not how much they say. When the conversation needs a person, your team should see the whole chat, the details already collected and why it was handed over, so the patient never has to repeat themselves.

What to prepare before building one

  • A WhatsApp Business number you control.
  • The questions you get most, and the answers your team gives today.
  • Your services, prices and doctors, written down in one place.
  • Access to the calendar or system where bookings live.
  • One person on your team who owns the agent and reviews conversations in the first weeks.

How to tell if it works

Before launch, write down how long replies take today and how many WhatsApp conversations turn into bookings. After launch, compare the same two numbers. If replies are faster but bookings do not move, the agent is answering but not helping, and the script needs work.

Done this way, the agent does not replace your reception team. It takes the repetitive load and the after-hours messages, so your team can spend their time on the patients who are already in front of them.

Have something in mind?

Send a few lines about what you want to build or fix. I read every message and reply within a day, in Arabic or English.
